About Click&Mail

How does Click&Mail work?

Click&Mail is simple to use, you download the Click&Mail One-to-One software and start sending letters from your word processing package to a single address by going to file print and selecting Click&Mail One-to-One. Alternatively, if you want to communicate to more than one person, then you can use the web interface Click&Mail One-to-Many. There is a step by step wizard which takes you through the steps. You need a csv file, your document or text and you can upload a PDF attachment if required. You send your document to print and then it is encrypted and printed at our printing centre, inserted into envelopes and then posted for you.

Why should I post a letter rather than send an email?

A physical mail is more likely to be opened by people these days, especially with the increase in sales emails going to people’s inboxes, which more often than not are deleted. Companies are increasingly using postal mail to help build and sustain ongoing relationship with their customers. Postal mail has evolved to enable more efficient, effective and versatile communication so that organisations of all sizes are focussing on continuous communication with their customers, beyond just transactional mail.

Can you guarantee the data will be secure?

Yes, Once you send your document, the data is encrypted before it leaves your computer, it is then only un-encrypted when being printed at the secure production centre. During the production and fulfillment cycle only our trained, vetted staff will handle the documents. All customer information is treated in the strictest confidence and only sealed envelopes leave the production centre. In the unlikely event of letters requiring reprinting, the originals are placed in secure data disposal receptacles.

What software is Click&Mail compatible with?

The One-to-One software is compatible with Windows 2000, XP, 2003 and Vista. The software is not compatible with 64 bit operating systems or Mac and Linux. The One-to-Many application is web based and the browsers it is compatible with are Internet Explorer 6, 7 and Firefox. You will need to ensure Java Script is enabled.

Does the One-to-One software work on Mac OS X or Linux?

No, Click&Mail One-to-One is currently only compatible with Windows 2000, XP, 2003 and Vista.

Payment and costs

Is there a contract?

No, you are not tied into a contract, Click&Mail operates on a pay as you go service with no hidden costs, payment is simple and secure by credit card.

How much can I save?

Use the savings calculator to work out how much you could save.

How much will it cost me?

Costs start from £0.42 for B&W and £0.50 for Colour. For every additional page per document it is £0.05 for B&W and £0.07 for colour.

How do I pay?

Payment can be made by a credit or debit card using the pre-paid amounts or alternatively, enter the amount you want to credit your account with.

How much does the software cost?

Nothing, the Click&Mail One-to-One software is free to download and Click&Mail One-to-Many is free to access on the web, 24/7.

Preparing your post

What stationery do you use?

We use high quality 90gsm white paper and a white C5 window envelope.

Is there a limit on the number of pages that I can send?

Yes, you can send up to eight pages single sided or up to 16 pages double-sided.

Can documents be printed in colour?

Yes, you can select whether you want your document in colour or black and white.

Can I use my own letterhead?

Yes, if you have electronic letterhead then you can use this.

Can I sign the letter?

Yes, you just need to use a digital signature which is now widely accepted in messages to customers.

Can I put my return address on the envelope?

No, all undelivered mail is returned to Pitney Bowes and then securely destroyed.

Can I use variable text?

Yes, when creating a mailshot using One-to-Many you can have variable text although not within the PDF attachment.

Managing your post

Can I delete or cancel a document once it has been sent?

Yes, you can cancel or delete a letter as long as it has not been printed. The money will automatically get credited back into your account.

Can I retrieve documents once they have been sent?

Yes, you can electronically retrieve documents for up to 14 days from the date that they have been printed, you can then store these if you wish to.

What happens to my returned post?

Returned post is securely destroyed for you.

Delivery

When does my post get delivered?

We offer a second class service. Documents sent before 3pm get printed and posted that day otherwise they will get printed and posted the following day.

Can I use the service abroad?

Yes, you can send your documents to a UK address wherever you are in the world, as long as you have an internet connection.

Can I send post internationally?

No, currently it is only for UK addresses.

Is there a minimum quantity that I need to send out?

No, you can send one letter right through to a large quantity of letters.

When can I send my free letter?

You need to download the Click&Mail One-to-One software and then you can send your free letter. Please note, if you credit your account before you send your free letter you will lose your free credit.
